Facility Updates - What You May Have Missed

ree

Hello Kingswood Village Community,

We’re excited to share some valuable updates and improvements we’ve recently implemented across our facilities and administrative services!

We know your inbox is important, so we always strive to consolidate our news into comprehensive, helpful posts like this one. We are never aiming to flood your inbox—just keep you well-informed!

Fitness Center Upgrade: Adding Entertainment!

Great news for your workout routine! We've installed a new TV in the Fitness Center for owners and authorized guests to enjoy while using the gym equipment.

To ensure a positive and respectful experience for everyone, we've posted Community Guidelines and Fair Use Policy in the gym. Please give it a quick read; these guidelines are there to clarify usage and encourage courtesy toward all your fellow gym users.

New Property Access System: Ready to Go!

The upgrade to our access control system is complete! We successfully replaced all older Cobra equipment with the modern UniFi NFC card access system.

  • New Cards Are Ready: The new NFC access cards have been available for pick-up at the office since December 1st. Please visit us during normal business hours to pick up yours!

  • A Gift From Us: Each unit is being provided with two (2) complimentary access cards.

Phase Two Details: The final portion of this project, which involves the office building addition, is expected to begin shortly after the New Year. Rest assured, this work will not affect or interrupt homeowner access to the rest of the community facilities.

Coming Soon: We’re currently developing some great new features and programs to make this new system even easier to use—more details on those coming soon!

Maintenance Queue & Work Order Status

Our team is working diligently to process and clear the current maintenance queue. Thank you all for your patience! For the newer residents, our work order flow works something like this:

  1. Request submitted via form link on website

  2. System collects responses and sends them to KVPOA staff & the reporting party

  3. Work order is created in our management software

  4. Priority is assigned based on: safety implications, resources, and season

  5. Work order is assigned to a KVPOA staff member

  6. Work is completed

  7. KVPOA staff member adds notes and pictures, marks work as completed

  8. KVPOA office gets notification of completion

  9. KVPOA office downloads work order, checks for accuracy, and uploads to unit folder on website

A Note on Status Updates: To keep our team focused on getting the work done, we generally do not provide status updates on work orders in progress. Instead, once the maintenance work is complete, a copy of the final work order is uploaded directly to your unit files for your convenience and review.

Unit Archival Records Digitization

We are making excellent progress in digitizing and centralizing all unit records! So far, we have uploaded the most accessible archived files for all units.

  • Next Up: We'll soon be uploading the archived records for units 200 through 258 to their respective unit files.

  • Future Records: We still have more records to sort through, and additional documents will be uploaded at a later date. We will keep you posted!

We hope you enjoy these improvements, and we look forward to continuing to enhance our community together!

As always, please don't hesitate to reach out if you have any questions, concerns, or comments!

Happy Holidays!
